Entering an event

Although you can still enter by paper, please if at all possible make use of our online entry system.

Please note that every entrant must be a current member of a rogaining association. If you are not, then you must join WARA. You can join as part of your event entry. Information on WARA membership is available here.

So you've entered the event, and are wondering what happens next.....

What Notification will I get that I've entered?

If you have entered by post you won't get any feedback (except perhaps your credit card being debited) until you receive your event directions. If you have paid by cheque, these are banked by the treasurer after the event, so don't panic if your cheque has not been cashed.

If you successfully entered on-line, you would have received a receipt e-mail from PayPal. The team contact (the first person listed in the entry form) would have received an event directions e-mail around the same time from WARA Events. If you can't find the event directions e-mail, check your junk folder. If you still can't find the event directions e-mail, please contact the event entry manager.

Entering on-line is easier for all concerned; you get confirmation straight away that you have successfully entered, and the volunteers that process your event entry don't have to manually decipher and enter information into the entry system. Please enter on-line if at all possible!

When will I get my event directions?

Event directions are generally made available on or after the Monday of the week of the event.

If you successfully entered on-line, you would have received a receipt e-mail from PayPal. The team contact (the first person listed in the entry form) would have received an event directions e-mail around the same time from WARA Events. If you can't find the event directions e-mail, check your junk folder. The link in this event directions e-mail will allow you to retrieve a PDF of your event directions from Monday of the week of the event. If you can't find the event directions e-mail, please contact the event entry manager.

If it's Wednesday of the week of the event, and you have not yet received your event directions, please contact the event entry manager.

One or more of my team can't make the event, what now?

WARA policy is no refunds after the closing date. Because food, maps, toilets, and other things are ordered based on entrant numbers, if people could withdraw at any time, event prices would have to rise to take this into account.

If it's before the closing date of the event, contact the event entry manager and a refund can be arranged.

You might also consider replacing the team member who can't make the event with someone else. The event entry manager can organise this for you prior to the event so that there are no administrative hold-ups on the day.

I've already entered the event and it's before the close of entries; how can I add an extra member to my team?

Presently you are unable to add a person to a team on-line. Contact the event entry manager to add a person to your team, keeping your credit card details handy.
